Contact Us

1. Information We Collect

We may collect contact information, company profile details, UEI/CAGE and contracting identifiers, NAICS/PSC preferences, target agencies, uploaded documents, opportunity decisions, support requests, billing information, portal usage logs, workflow events, device/browser information, and communications with our team.

2. Information Provided Through the Portal

Clients may provide capability statements, past-performance summaries, certifications, target-market preferences, solicitation documents, proposal-readiness materials, and notes. This information is used to operate the service, generate reports, support capture decisions, and maintain audit records.

3. How We Use Information

We use information to create and manage accounts, deliver market scans, score and route opportunities, prepare reports, provide analyst review, send notifications, improve services, secure the platform, troubleshoot workflows, comply with legal obligations, and communicate with clients.

4. Automation and Human Review

GovScoutIntel may use automation and third-party services to normalize data, route workflow events, generate draft analysis, monitor opportunities, and prepare client deliverables. Human review and client approval controls are used for key decision points and client-facing outputs.

5. Third-Party Service Providers

We may use hosting providers, workflow automation tools, email services, payment processors, analytics/security tools, government-data APIs, document/report tools, and AI service providers as necessary to provide and protect the services. These providers are authorized to process information only as needed for their role.

6. Payment Information

If Stripe or another payment processor is enabled, payment information is processed by that provider. GovScoutIntel does not store full card numbers on its servers. Billing records may include plan, invoice, payment status, customer identifiers, and transaction metadata.

7. Cookies and Logs

We may use cookies, session storage, and server logs for login sessions, security, fraud prevention, preferences, analytics, and operational diagnostics. You can adjust browser settings, but disabling cookies may prevent portal login or some features from working.

8. Data Sharing

We do not sell client data. We may share information with service providers, professional advisors, legal authorities when required, acquirers in connection with a business transaction, or with client-authorized parties such as team members, subcontractors, advisors, or proposal support personnel.

9. Data Security

We use reasonable administrative, technical, and organizational safeguards such as access controls, secure sessions, audit logs, least-privilege permissions, HTTPS enforcement, file restrictions, and monitoring. No system can be guaranteed fully secure, and clients should avoid uploading restricted information without a written handling agreement.

10. Data Retention

We retain information for as long as needed to provide services, maintain records, comply with legal obligations, resolve disputes, enforce agreements, and support auditability. Clients may request deletion or export, subject to contractual, legal, security, and backup limitations.

11. Your Choices

You may request access, correction, deletion, or export of certain information by contacting us. We may need to verify your identity and authority before responding. Some records may be retained where required for legal, security, accounting, or audit reasons.

12. Sensitive and Restricted Information

Do not submit classified information, controlled unclassified information, export-controlled data, protected health information, financial account credentials, or other restricted materials unless a written agreement confirms the required controls and processing instructions.

13. Children’s Privacy

GovScoutIntel is intended for business users and is not directed to children under 13. We do not knowingly collect personal information from children.

14. Changes to This Policy

We may update this Privacy Policy as services, legal requirements, or security practices change. The latest version will be posted on this page with the effective date.

15. Contact

Questions about privacy or data handling may be sent through the contact page or to the business contact listed in your service agreement.
